Setting up the dashboard
What happens after you subscribe, what to have ready, and the order to set things up in.
After you subscribe#
| When | What happens |
|---|---|
| Today | Subscribe. Checkout runs through our payment provider. Your receipt comes from them. |
| Within 24 hours | We book your onboarding call. A person from Foyer emails you to pick a time. |
| Within 48 hours | Your dashboard opens. Sign in with the key from your welcome email. |
| 3–7 business days | We set Phil up with you. Your PMS, menus, rooms and hours. Then you go live. |
Good to have ready#
- Access to your PMS
- Menus and prices: room service, restaurant, laundry
- Hours, Wi-Fi, parking and house policies
- Price ranges for late checkout and upgrades
- Front desk and security phone numbers
- Your team's names, roles and mobile numbers
The order to set things up in#
We do most of it with you on the onboarding call. Each step is a page in the dashboard's left navigation.
- Sign in with the access key from your welcome email, then add your phone when asked. Invite the rest of the team from the Team page with Add new teammate.
- Knowledge: hours, Wi-Fi, parking, policies and amenities as always-used entries, plus the specific questions guests ask with the exact answer you want given. This is what Phil answers from.
- Venues & menu: venues, sections and items, laundry, and the acceptance time for orders. Mark what is available; changes are live on the next guest order.
- Rooms: room types from your PMS and the PMS connection, then generate one QR link per room and print them.
- Hotel: hotel details and time zone, where staff alerts go, then opening hours for outlets and departments. Phil quotes these and tells guests when someone will pick up.
- Offers: the late checkout and upgrade offers Phil may make, with the price range for each.
- Venues & menu → Room charges: set the limits above which a room charge needs more checking: a code we text the guest where codes by text are on, otherwise a call from the desk.
- Team: press Add new teammate, pick each person's job and send them the one-time registration link or key. They register with their own name and mobile number.
Nothing needs a deploy or a support ticket. Edit a fact in the dashboard and Phil uses it on its very next message.
Go live#
Hotel → Go live, at the top of the Hotel page, shows when you are ready.
- Fix what it lists. Failing checks come first, each with a link to the page that fixes it.
- Check room charges. With a test booking in house, Foyer posts a 0.01 charge, reads it back and takes it off. Never on a real guest's bill.
- Make the hotel live. An admin taps it once every required check passes. Room QR codes and Telegram Confirm and Reject start working.
- Turn on offers. Pricing rules start in observation: offers are worked out, none is sent. Switch observation off on Offers → Pricing rules when you are happy.
- Choose journey messages: Off, Shadow (planned and shown on the Journey page, not sent) or Live, once the hotel is live.
Managers see the checks. Only an admin makes the hotel live or changes these switches, and each change asks to confirm first.
Integrations#
| Integration | What it does |
|---|---|
| PMS (Mews, apaleo, Cloudbeds, Oracle® OPERA Cloud and Beds24) | Stays sync on their own: arrivals, room moves, check-in and checkout. The guest's session ends at checkout. |
| Stay link | The hotel can send it through its own messaging system. Where texting is enabled, Foyer can also text it. |
| SMS | Foyer's toll-free number, 1-866-81-FOYER, texts your guests on your behalf. Every stay text starts with your hotel's name. |
| Staff Telegram chats | Every request also arrives as a card with the same Confirm and Reject as the dashboard. |
Texting#
- Switched on per hotel. Until then, the front desk gives the stay code from the Guests page.
- Every stay text starts with your hotel's name, then "via Foyer". HELP replies with your front desk number; STOP is honoured.
- Sign-in codes are sent through Twilio's verification service, which may use its own numbers and its own wording ("Your Foyer verification code is ..."). A STOP to the Foyer number stops them too.
- Texts are about the stay only, never marketing. US and Canada numbers only.
- Message frequency varies.
Before texting is switched on#
Print this line next to the phone number on your registration card and booking form. It is how guests agree to the texts:
"By giving your mobile number, you agree to receive text messages from Foyer about your hotel stay, such as your stay code, sign-in codes and updates on your requests. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help. Terms: foyerintelligence.com/terms. Privacy: foyerintelligence.com/privacy."
During onboarding we send you the same line with your hotel's name in it, and your hotel's program page, foyerintelligence.com/sms followed by your hotel's Foyer id.
