Tax
Tax groups put the right tax line on every order, laundry charge and offer. How to set them and what your PMS needs.
Everything you sell through Phil (menu items, laundry and offers) belongs to a tax group. Your PMS applies tax by group, on separate bill lines. The Tax page sets the groups and which item is in which.
Who can use it#
- Managers and admins with the Tax page.
- The list of PMS codes to choose from (for example apaleo's VAT types) loads for admins. Others type the code.
What a group holds#
- A name, for example Food, Alcohol or Services.
- A rate in percent.
- Whether the tax is included in the price or added on top.
- The code your PMS uses for this kind of charge (an item, revenue or VAT code), where your PMS needs one.
How groups are used#
- Orders and laundry: when a group adds tax on top, the guest sees the added tax before booking, and it goes on the room charge.
- A room service order with items from several groups posts one PMS bill line per group, with the delivery fee and service charge on their own lines.
- Offers never add tax to the offer price. Put offers in tax-included groups. An offer in a group that adds tax on top goes to the front desk to post by hand.
- Prices are edited where the item lives: Venues & menu, Laundry or Offers. The Tax page only assigns groups.
Items with no group#
New items start without a group. An item with no group gets no tax line from its group: it posts under the charge code your PMS connection uses for that kind of charge. An order that mixes items with and without a group cannot be posted to the PMS automatically, so the desk posts it by hand. The Tax page lists items with no group, and the Go live checks count them.
PMS codes and VAT types#
Most PMSs file each charge under a code. Where your PMS needs one, give every group its code; a group without it is not sent to the PMS, and the desk posts those charges by hand. Beds24 and Cloudbeds need no group code; they take the group's rate.
apaleo supports VAT only, with no separate sales-tax line. Pick each group's VAT type from apaleo's list. For a group that adds tax on top, the added tax posts within the amount under that VAT type.
