Rooms

Rooms lists your room types as your PMS reports them, sets which ones Phil may sell as upgrades, and makes the QR codes for rooms and the lobby. Admins also manage the PMS connection here.

Who can use it#

• Managers and admins with the Rooms page.
• The PMS section, Sync now and Issue new hotel QR: admins only.

Room types#

• Each room type with its number of rooms, tonight's rate and when it last synced. These come from the PMS and cannot be changed here.
• Upgrade level, from 1 (entry) to 10 (top), sets the order of upgrades.
• Sell upgrades: off hides the type from upgrade offers and guest views. Both save at once.

PMS#

• When connected: the system, the last sync and whether room charges go on the bill, with Manage and Sync now. Bookings sync every 15 minutes.
• Setting up a connection is a guided set of steps: choose the PMS, enter the access details, check the connection and the room types, check the next 7 days, start reading bookings, run the room charge check, and start posting room charges.
• The connection's status lets an admin stop posting room charges or turn the connection off.

QR codes#

• Hotel QR: one QR for every room, the lobby and the pool. Print the hotel QR, or Print desk card for the counter.
• Issue new hotel QR (admins) retires the old hotel QR cards; room cards keep working.
• Room QR links: one signed link per room. Make links for every room or for one room type, then Print room cards or Copy all links.
• Reprint makes a new card for one room. Older prints of that room stop working.

Room photos#

One photo per room type, sent with upgrade offers. Upload or Replace.

Common tasks#

Print cards for every room

1. Under Room QR links, press Make links for every room.
2. Press Print room cards.

Replace a lost room card

1. Find the room and press Reprint.
2. Press Confirm reprint, then Print card.

Stop selling upgrades to one room type

1. Switch off Sell upgrades on that room type.
